Wheatlands HOA JANUARY WORK SESSION MINUTESWednesday, January 14, 2026 7:00PM 
  1. CALL MEETING TO ORDER
Meeting called to order at 7:01PM
     
  1. FINANCIALS
    1. Overall Financials from full year 2025 not yet available – Nancy Hauth
Mike Rylander asked why the HOA had a tax bill of approx. $1000.00 for 2024 (paid in 2025).
 
  1. ELECTIONS
    1. Confirm open seats – BOARD
Open seats are Michele Buchanan (current President), Nick Brasile (current Secretary), Ryan Miller (Director), and an unfilled open seat.
 
  1. INSURANCE
    1. Insurance Quote status – Michele Buchanan
A quote has been received from Alliant Insurance which is still over $10,000. Negotiations to continue.
  1. Webinar January 21 at 6PM - Community Association Insurance: Navigating Costs and Emerging Risks
Nancy Hauth and Michele Buchanan to attend
 
  1. OTHER BUSINESS
    1. Electrical company – Eissner Electric – status of service
Lights are still out under trees at Barrington and Haefenrichter and at Barrinton and Eola.  Michele to contact Freda McKay again.
  1. Status of Bo Xu fence issue – Nick Brasile
Pat Costello has advised us that we can remove the current fence and install an approved style fence.  He advised that we contact the owner to let him know.  Nick will get quotes from various fence companies.
  1. Approved payment plan of one delinquent homeowner ($3400+)
  2. Approved one architectural application for a “Gazebo”
  3. Potential change to HOA management company – Michele Buchanan
Total expenditure with RealManage is over $74,000.00 Looking for a more responsive partner and lower cost if possible.

    9. September Fall Meeting – OPEN – PROPOSED BUDGET PRESENTATION TO HOMEOWNERS – September 16th
    10. October Meeting – Work Session – October 21st
    11. November – No Meeting
    12. December Budget Approval Meeting – OPEN – HOMEOWNERS APPROVE FINAL BUDGET FOR 2027 – December 2nd
